Job Description

1. Primarily a Contract Administrator role - requiring detailed, diligent administrative skills, including maintaining a database, invoice processing, and following a comprehensive Procurement Management System of procedures and templates for approvals, writing briefing notes, and contract administration 2. Ability to step into Contract Manager role - actively seek an understanding of government procurement guidelines and policy, and be able to advise relevant Deputy Project Directors on upcoming procurements in a proactive, helpful and value add function Day to day duties: • Establishment of new contracts following a tender process (competitive tenders managed by a Tender Process Manager); • Prepare and issue briefing notes for approval under delegation; • Liaise with Deputy Project Directors, internal and external stakeholders; • Management of variations to existing contracts; • Management of records in a Contracts Register and using the organisation's records management system • Liaising with Deputy Project Directors to establish and manage budgeted funds and to forecast expenditure • Management of monthly accrual process and of invoice payments within necessary timeframes; • Collect and register confidentiality deed polls and statements of interest and associations in respect of those participating in the project; • Supporting templates, guides and procedures are provided and are to be used. The Contract Manager will assist with the continuous improvement of the existing templates, guides and procedures.
